Smart Washroom Management Solutions for Financial Facilities
Project Overview
AastroTech deployed Smart Washroom Management Solutions across 70 washrooms within a financial services and investment management facility.
The implementation was designed to support smarter corporate facility management through connected monitoring and more informed day-to-day operations, with AastroTech Electronics LLP leading the system integration.
The challenge
Managing a large number of washrooms in a corporate facility requires an effective Washroom Management System for monitoring cleanliness, consumable availability, occupancy and overall user experience.
For the Client, the requirement was to manage 70 washrooms more intelligently and give the facility management team better visibility into day-to-day washroom conditions.
A conventional approach based on periodic manual inspections makes it difficult to know:
1. How frequently each washroom is being used
2. Whether a washroom requires cleaning
3. When soap or tissue needs to be replenished
4. Whether waste bins are approaching capacity
5. Whether there is water or wetness on the floor
6. Whether the washroom’s air quality requires attention
The objective, therefore, was to introduce smart washroom management solutions with connected, real-time monitoring that would help the facility team make faster, better-informed decisions.
The Aastrotech approach
AastroTech implemented an IoT-based Smart Washroom Solution across all 70 washrooms, bringing together multiple IoT sensors that monitor the parameters that most directly affect washroom hygiene, availability and user experience.
Rather than simply installing hardware, AastroTech’s approach was to build a practical, end-to-end system, from understanding the facility’s requirements and selecting the right IoT Sensors to implementation, integration and ongoing reporting, so the client could adopt smart washroom management solutions without disrupting daily operations.
What we implemented
1. People Counter: Monitors washroom usage and gives the facility team visibility into occupancy patterns and footfall through continuous occupancy monitoring.
2. Air Quality (AQI) Sensor: Monitors air quality conditions within each washroom and helps identify environments that require attention.
3. Wetness Sensor: Detects wetness on the floor, enabling the facility team to respond quickly to spills or wet-floor conditions.
4. Smart Bin Sensor: Monitors waste-bin fill levels and alerts housekeeping teams when emptying is required.
5. Smart Soap Sensor: Monitors soap availability and helps prevent dispensers from running empty.
6. Smart Tissue Roll Sensor: Gives visibility into tissue availability so housekeeping teams can replenish supplies proactively.
7. Service Level Monitoring: Every washroom issue is logged as a case, along with its response time and escalation path. This creates a structured performance record the facility team can use to build SLAs, track how the facility management team is performing, and make an informed call during contract review and renewal.
How the Solution Works
Sense → Analyse → Alert → Act
Sensors installed across 70 washrooms collect real-time data that flows into a centralised monitoring platform. The facility team receives visibility and alerts, and the housekeeping or maintenance team takes action moving the Client’s facility operations away from relying entirely on periodic manual checks and towards condition-based facility management.
The Difference It Made
For the Facility Team
1. Real-time visibility into occupancy, cleanliness and consumable levels, without relying solely on physical inspections
2. Cleaning and replenishment activities prioritised by actual usage and washroom condition
3. Faster response to wetness, waste and air-quality issues before they become larger problems
4. SLA-backed performance data to support facility-management reviews and contract renewals
For Washroom Users
1. Consistently well-stocked, cleaner washrooms
2. Fewer instances of empty dispensers or overflowing bins
3. A noticeably better hygiene experience across all 70 washrooms
For the Organization
The 70 washrooms are no longer treated as independent facilities. Instead, the IoT-based washroom management system creates one connected view of usage, cleanliness, consumables, waste, wetness and air quality across the entire campus, giving the Client a scalable framework for smart washroom management solutions that can extend to future sites.
From Manual Inspections to Smart Washroom Management
With smart washroom management solutions now covering 70 washrooms, the client has a technology-enabled framework for IoT facility management built on real-time, sensor-based monitoring.
Through people counters, AQI sensors, wetness detection, smart bins and consumable sensors, and structured service-level tracking, AastroTech gave the facility team one connected, measurable view of washroom performance across the entire estate.
This project is a clear example of how smart washroom management solutions can turn a traditionally manual, reactive function into a proactive, data-driven one, while also giving facility leaders the SLA evidence they need for ongoing vendor and contract reviews.
Solution Architecture
Key Takeaway
“With 70 washrooms connected through IoT-based monitoring, the Client can move towards a smarter model of facility management, where housekeeping, maintenance and even contract-renewal decisions are driven by real-time information and SLA data rather than routine checks alone.”
